Office Administrator, Separation Technologies Applied Research and Translation Centre (START Centre) – R00009648

NTUitive is seeking an Office Administrator for Separation Technologies Applied Research and Translation (START) Centre. The successful candidate will provide support to senior leadership (Managing Director and Technical Director) in operational areas including, but not limited to the following:

Responsibilities:

Administrative assistance for funding applications and subsequent grants:

This includes, but is not limited to, helping to develop budgets and staffing proposals, subsequent maintenance of budgets, ensuring verification and timely submission of reimbursement requests, providing data for reports as needed.

Overseeing procurement of technical equipment:

Supporting technical staff on key equipment and materials procurement activities from end-to-end.  This includes helping with requisitions, coordination with admin functions at NTUitive and NTU to ensure timely submission and approvals for tenders, quotations, etc., as needed till the purchase order is released, and subsequently, monitoring and ensuring timely delivery and invoicing.

Developing and maintaining Collaterals:

This includes developing maintaining and updating brochures, websites, external presentations etc., in conjunction with external contractors if needed.

Organizing Outreach Activities:

Being the single point of contact for external seminars, exhibitions and other related activities, including coordination with external organizers.

Coordination with NTUitive, NTU and collaborators’ administrative functions:

Working closely with Finance, HR, Procurement and Outreach functions at NTUitive and NTU on budget related activities, hiring and purchasing activities.  Coordination with collaborators’ admin functions on joint projects (industrial and academic).

Requirements:

  • Diploma or Degree (preferred) in Finance/Management/Administrative skills
  • Proven project coordination and budget management skills.
  • Preferred 2+ years of experience in similar role
  • Strong communication skills, both oral and written.
  • Ability to interact with multiple stakeholders across academia, institutional research, and industry.
  • Ability to work independently with minimal supervision.
  • Team player with strong integrity and accountability mindset.
